Job Description

Overview

We are seeking a proactive and detail-oriented professional to support procurement, technical administration, and HSSEQ functions within a maritime environment. This role plays a key part in ensuring efficient purchasing processes, maintaining technical documentation, supporting vessel operations, and assisting with health, safety, security, environmental, and quality compliance.

Key Responsibilities

Procurement

  • Manage purchasing activities for vessel stores, spare parts, equipment, and other operational requirements.
  • Source quotations, evaluate suppliers, and prepare purchase orders in accordance with company procedures and approved budgets.
  • Coordinate with vendors to ensure timely delivery of goods and services to vessels.
  • Monitor purchase orders, delivery schedules, and supplier performance.
  • Process supplier invoices and coordinate with the finance department to facilitate timely payments.
  • Maintain accurate procurement records and inventory documentation.

Technical Support

  • Provide administrative support to the technical department and assist Technical Superintendents with daily operations.
  • Prepare, review, and maintain technical reports, vessel records, and supporting documentation.
  • Coordinate service arrangements, inspections, and maintenance activities with internal departments and external vendors.
  • Maintain and update vessel documentation, certificates, and technical filing systems.
  • Support the management of Planned Maintenance System (PMS) records and ensure maintenance schedules remain current.

HSSEQ Support

  • Assist in maintaining Health, Safety, Security, Environmental, and Quality (HSSEQ) documentation and records.
  • Monitor compliance documentation and support internal audits and inspections.
  • Follow up with vessels regarding HSSEQ requirements and ensure documentation is properly maintained.
  • Support the implementation of company policies, procedures, and continuous improvement initiatives related to safety and quality.

General Responsibilities

  • Maintain accurate records across procurement, technical, and HSSEQ functions.
  • Coordinate effectively with vessel crews, suppliers, contractors, and internal stakeholders.
  • Assist with departmental projects and administrative duties as assigned.
  • Ensure all assigned tasks are completed efficiently while maintaining confidentiality and professionalism.

Requirements

  • Diploma or Bachelor’s degree in Maritime Studies, Marine Engineering, Supply Chain Management, Business Administration, or a related discipline.
  • 1–3 years of relevant experience in purchasing, technical support, procurement, ship management, or a similar maritime role.
  • Previous experience in the maritime or shipping industry is preferred.
  • Knowledge of vessel procurement processes, inventory management, and supplier coordination.
  • Familiarity with Planned Maintenance Systems (PMS) and vessel technical documentation is an advantage.
  • Understanding of HSSEQ principles, maritime regulations, and compliance requirements is desirable.
  • Strong organizational, administrative, and multitasking skills with excellent attention to detail.
  • Good analytical and problem-solving abilities.
  • Proficiency in Microsoft Office applications, particularly Excel, Word, and Outlook.
  • Excellent written and verbal communication skills in English.
  • Ability to work independently while collaborating effectively within a team.
  • Capable of managing multiple priorities and meeting deadlines in a fast-paced environment.

Preferred Attributes

  • Experience working with ship management companies or vessel operators.
  • Familiarity with ERP, procurement, or inventory management systems.
  • Strong interpersonal skills with the ability to build effective working relationships with suppliers and vessel personnel.
  • A proactive attitude, high level of accountability, and commitment to continuous improvement.
