Job Description
Overview
We are seeking a proactive and detail-oriented professional to support procurement, technical administration, and HSSEQ functions within a maritime environment. This role plays a key part in ensuring efficient purchasing processes, maintaining technical documentation, supporting vessel operations, and assisting with health, safety, security, environmental, and quality compliance.
Key Responsibilities
Procurement
- Manage purchasing activities for vessel stores, spare parts, equipment, and other operational requirements.
- Source quotations, evaluate suppliers, and prepare purchase orders in accordance with company procedures and approved budgets.
- Coordinate with vendors to ensure timely delivery of goods and services to vessels.
- Monitor purchase orders, delivery schedules, and supplier performance.
- Process supplier invoices and coordinate with the finance department to facilitate timely payments.
- Maintain accurate procurement records and inventory documentation.
Technical Support
- Provide administrative support to the technical department and assist Technical Superintendents with daily operations.
- Prepare, review, and maintain technical reports, vessel records, and supporting documentation.
- Coordinate service arrangements, inspections, and maintenance activities with internal departments and external vendors.
- Maintain and update vessel documentation, certificates, and technical filing systems.
- Support the management of Planned Maintenance System (PMS) records and ensure maintenance schedules remain current.
HSSEQ Support
- Assist in maintaining Health, Safety, Security, Environmental, and Quality (HSSEQ) documentation and records.
- Monitor compliance documentation and support internal audits and inspections.
- Follow up with vessels regarding HSSEQ requirements and ensure documentation is properly maintained.
- Support the implementation of company policies, procedures, and continuous improvement initiatives related to safety and quality.
General Responsibilities
- Maintain accurate records across procurement, technical, and HSSEQ functions.
- Coordinate effectively with vessel crews, suppliers, contractors, and internal stakeholders.
- Assist with departmental projects and administrative duties as assigned.
- Ensure all assigned tasks are completed efficiently while maintaining confidentiality and professionalism.
Requirements
- Diploma or Bachelor’s degree in Maritime Studies, Marine Engineering, Supply Chain Management, Business Administration, or a related discipline.
- 1–3 years of relevant experience in purchasing, technical support, procurement, ship management, or a similar maritime role.
- Previous experience in the maritime or shipping industry is preferred.
- Knowledge of vessel procurement processes, inventory management, and supplier coordination.
- Familiarity with Planned Maintenance Systems (PMS) and vessel technical documentation is an advantage.
- Understanding of HSSEQ principles, maritime regulations, and compliance requirements is desirable.
- Strong organizational, administrative, and multitasking skills with excellent attention to detail.
- Good analytical and problem-solving abilities.
- Proficiency in Microsoft Office applications, particularly Excel, Word, and Outlook.
- Excellent written and verbal communication skills in English.
- Ability to work independently while collaborating effectively within a team.
- Capable of managing multiple priorities and meeting deadlines in a fast-paced environment.

- Experience working with ship management companies or vessel operators.
- Familiarity with ERP, procurement, or inventory management systems.
