Job Description
Oversee the preparation of complete account statements.
Create voyage account statements for clients with commercial management contracts.
Confirm voyage reports in IMOS and address differences with financial documents.
Keep and refresh counterpart data in the PAL system to guarantee prompt handling of hire payments.
Review and document freight and demurrage invoices, collaborating with operations and claims teams to ensure prompt payments.
Collaborate closely with operations and chartering teams on daily issues concerning collections, payments, and KYC adherence.
Guarantee accurate processing of cash inflows and outflows.
Revise and communicate weekly cash flow standings.
Manage pre- and post-approval account inquiries from ship operators.
Examine, match, and document vessel disbursement accounts; generate re-bills for voyage/owner/charterer-related matters and facilitate prompt payments with port agents.
Handle broker commission invoices, balance reconciliations, and verify timely settlements.
Acquire and manage bunker and various invoices, coordinating prompt wire transfers for payment to appropriate counterparties.
Examine and publish post-hire statements for time-chartered ships, covering performance claims, off-hire, cleaning, communication, victuals, representation, and owner-related fees, coordinating with operations to guarantee prompt payments.
Review accounts receivable and vendor aging reports on a weekly basis, guaranteeing efficient collection of overdue amounts and timely follow-up.
Manage and uphold a large email archive for effective access, retrieval, and response.
Assist in yearly documentation of financial audits.
Requirements:
At least 3 years of experience in accounting, emphasizing reconciliations, invoicing, collections, and general ledger activities.
Previous experience with commercial shipping is favorable.
Robust understanding of accounting principles with a keen focus on detail and precision in data input.
Proficient in MS Word, Excel, IMOS, and smart PAL software (preferred).
Excellent documentation abilities and capacity to execute tasks with accuracy.
Able to operate autonomously, handle various tasks, and adhere to tight deadlines.
Outstanding skills in both spoken and written communication.
Degree in Accounting, Finance, or Economics.
