Job Description
Overview
We are seeking a proactive and detail-oriented Crewing Executive to support the full spectrum of crewing operations for a fleet of vessels. The successful candidate will be responsible for coordinating crew recruitment, deployment, certification, travel arrangements, and crew documentation while ensuring compliance with company policies and maritime regulations.
Support the Crewing Manager in the day-to-day crewing operations for a fleet of FSU vessels.
Coordinate crew recruitment, interviews, medical examinations, travel arrangements, accommodation, joining briefings, and PPE issuance.
Arrange and verify seafarers’ certificates, licenses, endorsements, visas, permits, and other employment documentation.
Process applications for Certificates of Endorsement (COE), Tanker Endorsements, and other flag state documentation where required.
Plan, coordinate, and execute crew changes for FSU vessels, ensuring timely deployment and crew relief.
Maintain accurate crew records, certification databases, training records, and personal files.
Prepare employment contracts and brief seafarers on company policies, procedures, and joining requirements.
Liaise with manning agencies, recruitment partners, vessel personnel, and other stakeholders on crewing matters.
Monitor monthly crewing reports, training records, invoices, and other crewing administration.
Assist in compiling documentation for P&I and medical claims where required.
Ensure all crewing information is maintained accurately and handled with strict confidentiality.
Perform other crewing and administrative duties as assigned.
Requirements
Diploma or Degree in Maritime Studies, Business Administration, Human Resources, or a related discipline.
Minimum 2 years of relevant crewing experience, preferably managing FSU, tanker, or offshore vessel crews with multinational seafarers.
Experience coordinating crew changes and managing seafarer documentation for FSU or tanker operations is preferred.
Familiarity with flag state certification, tanker endorsements, visas, and maritime documentation requirements.
Strong organisational and coordination skills with excellent attention to detail.
Good communication and interpersonal skills, with the ability to liaise with seafarers, manning agencies, and internal stakeholders.
Proficient in Microsoft Office applications; experience with crewing management systems is an advantage.
Able to work independently and manage multiple priorities in a fast-paced maritime environment.
