Job Description

Duties:

Security & Adherence

  • Guarantee optimal safety standards for the vessel and crew.
  • Assist in the creation and upkeep of technical documentation, maintenance schedules, and reports.
  • Examine and gather monthly Deck and Engine reports.
  • Keep precise documentation for audits, inspections, and vessel certifications, such as Class, Flag, PSC, and FSC.

Documentation and Reporting

  • Disseminate revised circulars, timetables, and documents to ships.
  • Keep technical documentation updated and verify that all vessel certifications are current.
  • Deliver monthly Technical and HSE statistics, in addition to on/off hire reports.
  • Support project management activities, such as developing timelines, trackers, and schedules.
  • Work together with the Technical Manager to assess PMS and various monitoring system information.
  • Maintain a comprehensive collection of all ship plans, manuals, documents, and certifications, encompassing Class and Flag certifications (intermediate, annual, docking), with a current record for every vessel.

 

Project Administration

  • Assist with the oversight of newly obtained vessels, including the preparation of documents and updates to technical manuals.
  • Monitor inspection reports, ensure follow-up on action items, and track vessel performance.
  • Create and manage action trackers for inspections, punch lists, and charterer visits, collaborating closely with Marine and Technical teams.
  • Support in tender submissions, document preparation, and other processes related to vessel charters as needed.

 

Assistance & Administrative Duties

  • Assist in preparing tenders, technical evaluation reports, and project timelines.
  • Coordinate travel plans for technical personnel and handle expense reimbursements.
  • Offer secretarial and logistical assistance to Vessel Managers and Technical Superintendents.
  • Assist with hull, machinery, and P&I insurance claim procedures.
  • Carry out extra responsibilities as instructed by management

 

Requirements:

  • 3 to 5 years of experience in a marine technical position, ideally as a Technical Assistant aiding vessel operations.
  • Thorough understanding of onboard systems and technical procedures.
  • Adept at overseeing technical documentation and evaluating data.
  • Effective communication and coordination abilities.
  • Capable of working both autonomously and as part of a team, with strong attention to detail and the capability to handle various tasks at the same time.
  • Skilled in Microsoft Office software
