Job Description

Key Responsibilities:

· Providing secretarial support to the Technical Director and Fleet Managers within the department.

· Demonstrating proficiency in the Company’s Management System.

· Efficiently implementing the Company’s Management System.

· Contributing to the development and revision of procedures.

· Actively supporting and promoting continuous improvement efforts.

· Managing meeting schedules and preparing accurate minutes.

· Maintaining essential ship details, technical data, and basic plans required for emergency situations.

· Keeping all Emergency and Media Response Room equipment up to date.

· Ensuring the company’s technical systems remain current.

· Administering Key Performance Indicators for the department.

· Maintaining a log of customer complaints.

· Recording Superintendents’ visits to ships.

· Undertaking special secretarial tasks assigned by the Technical Director & Fleet Managers.

· Ensuring distribution lists are regularly updated and accessible.

· Keeping Directors and other staff informed of new Charter fixtures and maintaining up-to-date in-house data.

· Managing online communication with class societies and coordinating correspondence for Technical Superintendents.

· Distributing attendance reports and archiving them with supporting documents.

· Ensuring compliance with all Rules & Regulations pertaining to technical matters, including holding meetings and documenting decisions.

· Overseeing emergency preparedness administration.

· Ensuring the emergency phone is handled by Technical Superintendents.

· Participating in drills and crisis situations as needed.

· Managing the process of Management of Change & Risk Assessment.

· Overseeing the Technical Department Management System.

Candidate Profile:

· Minimum of two (2) years of experience as an Administrative Assistant within the Company.

· Proficiency in English language.

· Exceptional secretarial skills and abilities.

· Sound knowledge of computer software.

· Strong organizational skills.

· Effective leadership, control, and communication skills, with the ability to collaborate within a team.
