Job Description
Functions and Responsibilities
- Provide support to the Technical Superintendent in the upkeep and revision of the HSSEQ management system.
- Monitor the status of Class and Flag for all vessels and schedule required surveys or services.
- Oversee the management of ship certificates using digital storage systems and the DANAOS platform.
- Follow up on vessel repairs and maintenance as arranged by the Superintendent in coordination with the vessel’s purchasing officer.
- Aid in drafting the annual budget and tracking vessel-related financial plans.
- Assist in preparing specifications and obtaining import quotations related to dry docking activities.
- Help assemble docking reports as provided by the Superintendent.
- Handle purchasing needs as assigned by the Superintendent, including coordination with the Purchasing team.
- Deliver remote technical support to Superintendents when vessels are offline or when they are travelling.
- Assist in compiling and submitting technical and management-level reports.
- Maintain organized filing systems for certificates and technical reports received from vessels, transitioning to electronic storage via DANAOS.
- Keep the intranet-based electronic filing updated with any changes in fleet or organizational structure.
- Send official documentation to vessels, prepare correspondence, and follow up on replies.
- Manage travel arrangements and related logistics for Technical Superintendents.
- Provide updated Class survey status as requested by the Marine or Technical Superintendent.
- Coordinate warehouse access for ship manuals and document storage or retrieval.
- Control and track documentation flow, including mail and invoices sent to ships or internal personnel.
- Offer administrative support to fleet staff when needed.
- Track, coordinate, and manage logistics for LO and grease sample analysis across the fleet.
- Monitor the status of ship-specific manuals such as SOPEP and SMPEP, including Class approvals and vessel distribution.
- Attend Technical Department meetings, record notes, and distribute meeting minutes appropriately.
Job Requirements:
- Diploma in a related field or discipline
- At least 3 years of relevant experience in the marine industry is mandatory
- Self-driven with the ability to multitask effectively
- Technologically inclined and comfortable using ERP systems
