Assisting the Technical Superintendent with administrative matters
Monitoring the warehousing of spare parts (together with our appointed supplier)
Filing of monthly reports and checking for completeness
Monitoring the PMS (Planned Maintenance System)
Follow-up of job lists (according to Superintendent’s instruction) in the PMS
Service arrangements for the vessels as per Superintendent’s instructions, following up on service
arrangements including service reports and invoices
Monitoring the validity of flag and class certificates
Preparation of class surveys as per Superintendent’s instructions
Monitoring the validity of LSA, FFE and gas monitoring equipment and arranging services accordingly
To receive requisitions from the vessels and to maintain a status list of requisitions
To send enquires to suppliers based on the requisitions received from the vessels
To check the quotations from suppliers based on the requisitions and then forward complete/correct quotations to the Superintendent for approval
To place purchase orders (approved by the Superintendent) with the suppliers
To follow up on the delivery of goods and services to the vessels or to the warehouse
To liaise with the vessels and suppliers regarding necessary documentation (e.g. material certificates)
To organize deliveries to the vessels (in liaison with our appointed supplier)
To check invoices for correctness (invoice address, matching with purchase order, prices) in the system.
To liaise with the vessels and suppliers in case of wrong deliveries, poor quality, warranty etc.
To arrange return shipments from the vessels (e.g. for repairs and maintenance)
Closely (on a daily basis) following the position of the allocated vessels
Handling of claims from Charterers together with the Superintendent and the commercial team in Mexico. Sending ship’s mail to the vessel. Ensuring compliance with MARPOL’s SOPEP/SEEMP requirements (including providing the ships with relevant Point of Contact list)
