Job Description
- Conduct purchasing activities for spare parts, vessel supplies, warehouse inventory, and office requirements.
- Manage the supply chain process, including receiving approved requisitions, issuing Requests for Quote (RFQ), processing approved bids into purchase orders, and matching delivery receipts with invoices.
- Process new vendor applications, ensure vendor compliance, and select vendors for RFQ issuance.
- Maintain vendor performance records and collaborate with superintendents and vessel teams to address requirements, resolve issues, and handle urgent orders.
- Plan, arrange, and monitor logistics to ensure cost-effective, timely delivery of items onboard vessels.
- Track vessel schedules to optimize delivery efficiency.
- Process invoices promptly for all purchased materials and supplies.
- Ensure ship personnel confirm receipt of delivered goods.
- Provide financial reporting data as needed.
- Evaluate bids to secure competitive quotations for procurement decisions.
- Coordinate with appointed freight forwarders and regularly monitor stock lists.
- Prepare and share month-end requisition status reports with vessels to update on supply needs and prioritize upcoming purchases for the next port of call.
- Perform additional duties as assigned.
Requirements:
- Minimum of 4 years’ experience in a similar role within the shipping industry, preferably in the dry bulk sector.
- Strong negotiation skills.
- Effective teamwork and collaboration abilities.
- Excellent organizational skills.
- Basic understanding of logistics, including air freight, sea freight, and last-mile deliveries.
- Strong communication skills.
- Proficiency in PC and software applications.
