- Ensure vessel certificates, reports, and documents are updated and maintained in line with the Company’s document control system.
- Handle the preparation of stationery, documents, publications, and other necessary materials for vessels.
- Responsible for managing all ship-related requirements, including Druggist Orders, automatic chart and publication supply, and certificate renewals.
- Keep statutory survey records and schedules updated and well-maintained.
- Manage applications for vessel registrations and relevant licenses as needed.
- Distribute Notices to Mariners, Port Marine/Shipping Circulars, safety alerts, training resources, documentation, and amendments to vessels.
- Support the revision and editing of Controlled Documents for any required updates.
- Organize and maintain files for marine audits, vetting inspections, casualty reports, and incident records.
- Process departmental invoices and ensure accurate record-keeping.
- Assist in compiling monthly, quarterly, and annual reports for charterers, management, and department heads when required.
- Take minutes during meetings and track follow-up actions as necessary.
- Oversee the Department’s reference publications and ensure the library is kept up to date.
- Provide support with other administrative duties as needed.
- Carry out any other tasks as assigned on an ad-hoc basis.
Requirements:
- Diploma in Marine Engineering or a related field (candidates with maritime or engineering backgrounds are preferred).
- At least 2 years of relevant experience within the oil trading industry and in a similar administrative role.
- Highly meticulous, proactive, and professional in work approach.
- Excellent written and spoken communication skills.
- Proficient in Microsoft Office applications, particularly Word and Excel.
