Job Description
Job Summary:
Reports directly to the Marine Manager, providing comprehensive administrative and operational support to ensure the efficiency and compliance of the Marine Safety and Operations Department.
Key Responsibilities:
Document Management & Distribution: Prepare, issue, and track critical maritime documents, including Notices to Mariners, Port Circulars, safety advisories, and training materials.
Acknowledgment Tracking: Systematically monitor and confirm receipt of all distributed documents to ensure mandatory acknowledgment.
Controlled Document Maintenance: Assist in the rigorous review, updating, and amendment process for the department’s Controlled Documents.
Incident Data Management: Maintain, compile, and analyze accurate records and statistics for vessel-reported casualties and incidents.
Financial Administration: Process and manage the department’s invoices, ensuring timely and accurate payment.
Knowledge Resource Management: Oversee the upkeep and organization of the department’s reference publication library.
General Administrative Support: Provide adept support on a wide range of departmental administrative tasks and ad-hoc projects as assigned.
Requirements:
Diploma in Marine Engineering, Maritime Studies, or a related engineering field.
Minimum of 2 years of relevant experience within the oil trading industry or a similar maritime operations environment.
Meticulous attention to detail, highly organized, and professional in executing all duties.
Excellent drafting and verbal communication skills.
Proficient in Microsoft Office Suite, with advanced skills in Word and Excel.
