Job Description

esponsibilities:

  1. Ensure vessels comply with statutory, regulatory, union, and client-specific requirements.
  2. Manage operational compliance within the Crew Management Software.
  3. Maintain a comprehensive understanding of crewing processes, company KPIs, and regulatory standards.
  4. Plan and schedule seafarers efficiently while ensuring compliance in CMS.
  5. Establish and maintain clear communication with seafarers and their families.
  6. Verify accuracy in pre-joining documentation and ensure seafarers receive proper briefing.
  7. Oversee timely crew relief and seamless onboard placements.
  8. Report any performance concerns regarding support team members to the Line Manager.
  9. Escalate performance issues and onboard conflicts to the Line Manager.
  10. Update OCIMF-SIRE records using CMS/Q88 software.
  11. Maintain Minimum Safe Manning Certificates (MSMC) and P&I club certification for assigned vessels.
  12. Coordinate crew-related dispensations from the flag state and ensure timely resolution.
  13. Address and close audit findings related to PSC/MLC concerning crew documentation, certification, and training.
  14. Monitor and control crew-related expenses within the approved OPEX budget.
  15. Ensure timely processing of crew claims in CMS.
  16. Assist the Manager in overseeing the crew budget.
  17. Leverage knowledge of vessel operations, ownership, and trade requirements to enhance crew planning, selection, and retention.
  18. Align crew skills with specific vessel requirements when assigning seafarers.
  19. Escalate significant concerns to the Crewing Manager.
  20. Facilitate effective and streamlined communication with all relevant stakeholders.
  21. Maintain strong professional relationships with internal teams, service providers, and external stakeholders.

Requirements:

  1. Experience using Crew Management Software, preferably COMPAS.
  2. Degree or Diploma in Maritime Management or a related field.
  3. 1–3 years of experience in a similar role, as Fleet Personnel, or within a manning service provider.
  4. Proficient in MS Office and email communication tools.
  5. Strong interpersonal skills with excellent organizational abilities.
  6. Reliable, adaptable, detail-oriented, and proficient in problem-solving.
