Job Description

Responsibilities:

  • Reports to the Assistant Office Manager and works as part of the Admin team.
  • Responsible for managing daily administrative tasks to ensure the smooth running of office operations.
  • Prepares and processes payments for administrative invoices and maintains records of property management expenses.
  • Acts as the point of contact for tenants and contractors regarding facility and property management.
  • Tracks and updates maintenance contracts regularly.
  • Assists in planning and coordinating company events, team-building activities, and corporate functions.
  • Handles the procurement of office supplies and pantry items.
  • Sources, reviews, and manages company transportation leasing agreements.
  • Oversees and administers corporate mobile phone plans and bill payments.
  • Arranges utilities, cable, and internet services for management as needed.
  • Supports corporate staff with travel arrangements when required.
  • Provides backup assistance when the Receptionist is unavailable.
  • Participates in property-related projects and initiatives.
  • Assists with taking minutes during important meetings.
  • Performs additional duties assigned by the Office Manager.

Job Requirements:

  • Diploma in Business Administration or relevant experience in a similar role.
  • At least 1-2 years of related work experience.
  • Strong written and verbal communication skills for interacting with stakeholders and external partners.
  • Proficiency in MS Office tools, including Word, Excel, and PowerPoint.
  • Detail-oriented with excellent organizational and time management skills.
